The decision this platform raises

Consider SmartAdvocate when your evaluation requires an explicit choice between a hosted cloud system and a firm-managed server deployment. Compare the full operating responsibility, not just the software fee.

Pricing and package scope

Custom quote

Pricing is tailored to firm needs. Obtain a quote for your deployment, users, integrations, and implementation. Official vendor source ↗

Ask for a written quote using your actual users and required workflows. Separate recurring licenses, usage, third-party services, implementation, and migration. Published features do not establish your contract terms.

What to verify by operating area

Intake & handoff

Scope unverified

Evaluate inquiry capture and conversion with your actual intake sources. The reviewed FAQ does not establish the full intake scope. Official source ↗

Acceptance test: Create an inquiry, preserve its source and communication history, sign an agreement, then convert it into a matter. Which fields and attachments transfer?

PI case operations

Vendor-described; confirm scope

The PI offering describes case workflows and coordination with medical professionals. Official source ↗

Acceptance test: Walk through treatment, record requests, medical bills, liens, expenses, and a proposed settlement. Show who owns each next action.

Reporting & attribution

Due diligence; scope unverified

Require a live demonstration of your case-stage and source reporting. Obtain the included reports in writing. Official source ↗

Acceptance test: Trace a signed case to its original campaign. Reconcile the report to actual matters, including duplicates, referrals, rejected leads, and unknown sources.

Client communication

Integration; confirm fees

The PI page describes integrations for texting and e-signatures, among other services. Official source ↗

Acceptance test: Send a message, collect a document, and reassign the matter. Show the shared history, permissions, and escalation when nobody responds.

Integration & exit

Deployment choice

Cloud and server options are offered. The server option requires the firm to maintain its own environment and backups. Official source ↗

Acceptance test: Import a representative sample, reconcile totals and attachments, and export it again. Who fixes mapping errors, and what is omitted from the export?

Three questions for your SmartAdvocate demo

  1. Who owns backups, recovery testing, maintenance, and incident response under our selected deployment?
  2. Run a medical-record request from assignment through overdue follow-up and receipt. Show the exception queue.
  3. For each integration, identify the contracting party, setup cost, recurring cost, and first support contact.

Use a sanitized or fictional case. Have the people who will perform the work observe the demonstration. Record what worked live, what required configuration, and what remains unresolved.

Plan implementation before the signature

Assign a firm-side owner, map required fields and permissions, and test a representative import. Reconcile matter counts, documents, deadlines, and source history. Define the launch gate and a recovery plan if a critical workflow fails.

Review exceptions after launch rather than counting logins alone. Can the next responsible person see the full history, the next action, and the deadline? Can leadership reconcile the report to actual cases?
