Begin with the experience you want the person to have.
Someone submits a form, receives a text, and calls the firm later that afternoon. A connected process lets the team recognize the inquiry, understand what has already happened, and continue the right conversation.
The operating requirement is a shared lead history with source, stage, preferences, owner, and next action. Adding channels without that coordination can create more separate queues and repeated questions.
Define ownership before automating the sequence.
Decide which person or supervised queue owns a new inquiry. Specify backup coverage, what happens when a prospect replies, and who can change the next action.
If a reply requires human attention, the workflow should surface it to the right owner and apply the appropriate pause or handoff rule. A sequence should not keep sending an irrelevant message while a staff member is resolving the person’s question.

Distinguish sending from reaching.
A completed task can conceal a failed communication. Review the delivery information available from the provider and define what happens when a message is undelivered or a call does not connect.

Put permissions and preferences into the workflow.
Twilio’s messaging policy requires appropriate consent and opt-out handling for its services. The firm also needs review of applicable legal, carrier, and provider requirements for its actual communication practices. A response to one inquiry should not be assumed to authorize every future marketing sequence.
Define what permission is recorded, who can access it, and how changes are applied across connected systems. Minimize sensitive information in message templates and direct staff to the approved process when legal or confidential issues arise.

Test the exceptions as well as the normal route.
Trace a returning caller, an after-hours form, a text reply, an unavailable staff member, and a failed message. Confirm that the record stays coherent and the next owner can act. Coordinate tests with the firm so they do not create misleading client records or disrupt urgent work.
Then review adoption. A well-configured system still depends on staff maintaining the relevant stages and completing the assigned work. Monitor unresolved exceptions and inspect a sample of actual conversations.
The most useful outcome is straightforward: the team can see what has happened, the prospective client receives a coherent response, and someone owns the next step. The intake and attribution plans should describe that same process.
